Liquid-bulk document consistency matrix

One file should tell one traceable story about the goods, transaction, movement and receiving plan. This matrix shows what to compare and which differences need an owner.

THE CROSS-DOCUMENT REVIEW

Compare facts, not file names.

An invoice, bill of lading, certificate and product record can each be valid in isolation while disagreeing about the same shipment. The reviewer needs the value, source and document version behind every material fact.

This matrix is a review aid. It does not determine classification, value, origin, permits or a Customs outcome. A professional reviews the actual goods and current rules.

VERSION CONTROL

“Latest PDF” is not a control.

Keep every received version, mark one current and record what changed. A new document should not silently erase the reason an earlier filing position was taken.

INVOICE V1 / SUPERSEDED

Quantity: 1,986.440 MT
Origin: UAE
Product: Grade A

INVOICE V2 / CURRENT

Quantity: 1,968.440 MT
Origin: Saudi Arabia
Product: Grade A

  1. Preserve both versions with source, received time and sender.
  2. Compare field-level changes and point to the source page or line.
  3. Assign each material difference to a reviewer and record the decision.
  4. Update the working entry, checklist and dependent records where needed.
  5. Mark the previous version superseded; never silently delete it.

AI FLAGS / PEOPLE DECIDE

Trace a flag back to evidence.

AI-assisted preparation helps only when a possible mismatch points a reviewer to the originating record. A model output without a document reference is a lead, not a confirmed fact. Motumal’s confirmed AI use today is Bill of Entry and checklist preparation; automated cross-document comparison and version-diff controls are a roadmap, not a claim about a live client tool.

ILLUSTRATIVE REVIEW FLAG

Quantity difference: invoice V2 page 1, line 3 shows 1,968.440 MT; transport record page 1 shows 1,986.440 MT.

Human next action: confirm the correct basis with the importer and carrier, decide which record changes and hold the affected filing decision until reviewed.
